What AI actually costs a small business

Business owners assume AI costs enterprise money, because two years ago it did. Here's the actual price sheet in 2026.

The tools

$0. ChatGPT, Claude, and Gemini all have free tiers. So do automation platforms like Zapier and n8n. For learning what this stuff can do and handling light use, free genuinely works. Start here. (One caveat from my security series: once real business data is involved, you want a paid business tier with training turned off.)

$20 to $25 a month. The pro plans: ChatGPT Plus, Claude Pro, Gemini Advanced. More usage, better models, faster responses. This is the tier where AI becomes a daily tool instead of a toy.

$0 to $50 a month. Automation tools that connect your apps so data moves without retyping. Free tiers cover basic workflows; you scale up only when the workflows earn it.

That's it. You probably spend more on coffee. Start free, and upgrade when it pays for itself.

How to know if it pays for itself

Here's the example I run in class. Say writing social media posts takes 45 minutes, five times a week, and the person doing it costs $25 an hour.

  • Without AI: 3.75 hours a week, about $94 a week, roughly $4,900 a year. On one task.
  • With AI drafting and a human polishing: the same posts take about 10 minutes each. That's about $21 a week, or $1,100 a year.

Rounded, that's about $70 a week back, call it $3,800 a year, from one task and a $25 subscription. And most businesses aren't sitting on one task like this. They're sitting on a dozen.

The real cost isn't money

The honest answer about cost: the subscription is the cheap part. The real investment is a few hours of attention to learn the tools and rethink the task. That's the part people skip, and it's why the same $20 subscription is transformative in one business and abandoned in another.
