Gold Spur Outfitters, a Wyoming-based firearms retailer and service center, was drowning in paper. Every weapon that came in for service required handwritten forms, five different types depending on the work being done. These forms piled up in filing cabinets, and finding a customer's service history meant digging through boxes of paper.

The real pain came at the end of each day. Staff spent hours manually typing information from handwritten forms into Excel spreadsheets. Handwriting varied wildly, some barely legible, leading to typos and missing data. When a customer called asking about their repair status, the team had to physically locate the paper form.

They'd tried going digital before, but the solutions were either too complicated for their workflow or required customers to fill out forms on tablets (which slowed down the intake process and frustrated regulars who just wanted to drop off their firearm and go).

We built a system that lets Gold Spur keep their familiar paper forms while getting all the benefits of digital records. Staff fill out the same handwritten forms they've always used. At the end of the day, they simply scan the stack of forms.

Our AI reads the handwriting, even the messy stuff, and extracts customer names, contact info, weapon details, service requested, and any special notes. The system automatically sorts each form by type and populates the right Excel spreadsheet. No typing required.

The scanned forms become searchable digital records. Need to find every service record for a specific serial number? That's a 5-second search instead of a 20-minute filing cabinet expedition. The system even flags forms it's unsure about so staff can quickly verify before the data is saved.
